POSITION TITLE:  Office Coordinator, Thurston County

Position that you report to: Health and Safety Director
Positions reporting to you: Office Volunteers

MAJOR DUTIES:

  • Provides overall office support to the Olympia Office in compliance with Chapter Policies
  • Provide administrative support for local health and safety programs
  • Supports and assists the volunteer program, including volunteers who deliver Red Cross services

ADDITIONAL RESPONSIBILITIES:

Include, but are not limited to:

Office Management

  • Responsible for the day-today use of the building
  • Answer and respond to phone calls
  • Collect and distribute mail and other materials/supplies as needed
  • Assist walk-in clients
  • Maintain all supplies including inventory control and ordering
  • Recruit, train, support and supervise volunteer office staff
  • Coordinates scheduling of support staff
  • Effectively communicates and coordinates with the Office of Volunteers.
  • Provide ongoing customer support especially for Health and Safety customers and when necessary Emergency Services clients
  • Copy/assemble brochures and information packets for community disaster education
  • Assist with record retention projects
  • Responsible for preparing the inter-office courier
  • Assists with accounting for funds to be transported to chapter headquarters
  • Utilizes knowledge of local resources in order to assist customers

Facilities

  • Monitors facility use and resolves issues regarding use of space
  • Works to resolve building issues (such as security, workstation use, communication systems, heating/cooling system) by offering a course of action, reporting ongoing challenges and follow up in order to resolve issue
  • Prepare classroom for meetings/classes
  • Ensures the facility is kept clean and professional in appearance (may need to assist with janitorial duties)

Health and Safety

  • Assists with ensuring that all necessary products, course materials and equipment are provided for all classes, presentations, and sales events, including all rentals for Authorized Provider/Third-Party instructors
  • Processes on-line course registrations, student registrations and course information in education database
  • Assists with processing course records to include: filing, issuing certifications and data entry
  • Processes sales transactions and refunds (credit card, cash and charges) and reconciles money and receipts
  • Sells Red Cross products such as books, first aid and disaster kits and handles rentals of Red Cross materials such as manikins and videos
  • Prepares and mails correspondence as required to include: registration confirmations, receipts, billings, course schedules, agreements and promotional literature
  • Provides course records and certificates as needed for Health and Safety Courses
  •  Notifies students and training site when courses are canceled and reschedules students
  • Obtains and maintains current Red Cross teaching credentials in First Aid/CPR and Babysitter’s Training
  • On occasion, when no volunteer or per diem instructor is available, teaches health and safety classes at the Thurston Office

POSITION REQUIREMENTS:

Education:
High school diploma or GED required with some community/technical college or AA preferred.

Experience: 
Three years experience managing/supervising an office support staff providing reception and mail services.

Knowledge, Skills & Abilities:

  • Excellent oral and written communication skills
  • The ability to effectively lead meetings
  • Demonstrated ability to multi-task, prioritize and meet deadlines and correctly handle confidential information
  • Excellent volunteer management skills
  • The ability to work with a high degree of accuracy, attention to detail and follow-through
  • A professional telephone manner, with good grammar
  • Proficiency with Microsoft Office, including Word, Excel, Internet Explorer and Outlook
  • Knowledge of Internet technology
  • The ability to work effectively under pressure
  • Excellent customer service skills
  • The ability to work effectively both independently and as a member of a team
  • A positive and professional attitude and demeanor
  • The ability to periodically work overtime and/or work 20+ hours per if operating in a Disaster Relief mode
  • Ability to lift, carry and move supplies/equipment up to 45 pounds on a routine basis
  • Ability to work with or around bleach and other cleaning supplies
  • Valid Washington State Driver’s License
  • A clean driving record (must produce a driver’s abstract from Dept. of Motor Vehicles).
  • Ability to pass a background check

COMPENSATION: 
Wage Range Starting at $12.00 per hour, non-exempt, part-time 18 hours / week
